Plum and Petal’s Floral Journey: From Booking your Wedding Flowers to Your Big Day

Updated: Nov 21

Hello,

In this week’s blog, we’re giving you a behind-the-scenes look at our floral service process - from the moment you book with us to the big day itself! We thought it would be helpful to walk you through what your wedding florist does and when, offering a glimpse into all the hard work that goes on behind the scenes. While every florist’s approach may vary slightly, one thing remains constant: a tremendous amount of effort goes into creating your perfect day, much of which often goes unnoticed!

Step 1: Enquiry and Booking

Once you’ve explored our website and reached out via our contact page, we’ll receive an email with all your initial details. From there, we’ll provide a rough quotation for your wedding florals, provided we have enough information. If we need further clarification, we’ll correspond with you until we fully understand your vision and requirements. Once you’re happy with our quote and decide to move forward, a deposit of £200 is required to secure your date. This deposit will be deducted from your final total, which is due 4 weeks before your wedding. After your date is secured, we’ll reach out again about 6 months before your wedding to begin detailed planning. Of course, if you need to contact us before then, we’re always available via email and happy to help!

Step 2: Planning and Proposals

Once we’re six months out from your wedding day, it’s time to dive into the full planning process! We’ll start by scheduling a consultation - either by phone or email, depending on your preference. During this session, we’ll go over all the key details, from your wedding timeline to your floral vision. Using this information, we’ll create a personalised visual proposal board. This will include inspiration images, your chosen colour palette, a detailed list of floral arrangements, a cost breakdown, and a timeline for the big day. It’s a convenient, central reference point for both of us, and it can be updated and adjusted as needed up until 4 weeks before your wedding to ensure everything is perfect. If your floral design involves larger installations or custom pieces, this is also the time when we’ll schedule any necessary venue visits to take measurements and plan logistics.

Step 3: Final Payments and Last Review

Four weeks before your wedding, we’ll reach out to finalise everything. At this stage, we’ll collect the final payment and confirm that all the details are still accurate and up to date. This ensures that every aspect of your floral design is exactly as you envision it, giving you peace of mind as your big day approaches.

Step 4: Flower Ordering and Vendor Coordination

With your wedding day approaching, we’ll place your flower order with our trusted wholesalers to ensure all blooms are secured and ready for delivery in the coming weeks. We’ll also coordinate with any additional suppliers, such as cake bakers if we’re providing floral decorations for your cake, or venue stylists to align on setup timings. If it’s our first time working with your venue, we’ll reach out to their team to confirm logistics and scheduling. This collaborative effort ensures everything runs seamlessly on the day, with all elements perfectly in sync.

Step 5: Flower Delivery and Preparation

Three days before your wedding, your flowers will arrive at our home studio. From there, we carefully condition each stem to ensure they’re in perfect shape for your big day. We’ll hydrate the blooms in endless buckets to keep them fresh and vibrant. During this time, we’ll also prepare all the tools and materials we’ll need for your arrangements, as well as assemble any necessary boxes and packaging. This meticulous prep work ensures everything is ready for seamless floral creation in the days leading up to your wedding.

Step 6: Floral Creation and Packing

In the final two days leading up to your wedding, we dive into creating your floral arrangements. Depending on the scale of your event, these are often long, dedicated days - but we love every moment! We carefully assemble each bouquet and place it in water for freshness, while larger arrangements are crafted and safely stored until they’re ready to be set up. Once everything is complete, we organise all tools, pack our bags, and lay out aprons, ensuring we’re fully prepared for an early start on your big day.

Step 7: Delivery on the Big Day

On the morning of your wedding, we’re up bright and early to load your beautiful flowers into our vehicle and head to your venue. Upon arrival, we first set up any venue decorations to ensure everything is in place. Finally, we personally deliver your bouquets to you at the agreed time, as outlined in your proposal, so you’ll know exactly when to expect us.

Step 8: Tidying Up and Take Downs

After a busy morning setting up and delivering, we then head back to our studio to start the cleanup process. This includes clearing away all the stems, leaves, and petals, emptying bins, and thoroughly washing our buckets and tools with bleach. We also clean and sanitise any vases or containers, ensuring everything is prepped and ready for our next wedding. If your wedding features large floral installations, we’ll return to your venue the following day to dismantle them and collect any rented items. For smaller pieces, we always encourage our couples to take their floral decor home to enjoy for as long as possible!

Step 9: Goodbyes and Reviews

After all the hard work and collaboration, our journey together has come to an end - but we hope you’re as in love with your wedding florals as we were creating them! A few months after your big day, we love to reconnect with our couples to request any professional photos we could share on our socials. We’ll also ask for a Google review, so future couples can discover our services and see the beautiful weddings we’ve been honoured to be a part of!

Until next time,
